Summary

The AANP Fellows program (FAANP) recognizes extraordinary nurse practitioners (NPs) who have made significant contributions to health care through clinical practice, research, education, and policy. Established in 2000, the program engages Fellows in leadership, mentorship, and advocacy activities. This document outlines the business requirements for managing the Fellows program efficiently within Salesforce, ensuring streamlined processes for both internal and external users. The aim is to provide a seamless experience for Fellows from nomination through induction and ongoing participation.

Key Benefits of the Fellows Program:

  1. Recognition and Prestige:

    • Acknowledges contributions and leadership in the NP profession.
    • Provides opportunities to participate in exclusive events and initiatives.
  2. Engagement and Mentorship:

    • Involves mentoring new NPs and providing guidance to members.
    • Encourages active participation in advocacy and leadership activities.
  3. Professional Development:

    • Offers professional growth through the FAANP Career Advancement Program.
    • Access to specialized networking opportunities and resources.
  4. Visibility and Networking:

    • Fellows can create and manage an online bio, increasing their visibility and facilitating networking.
    • Bios are searchable by the public with restricted access to detailed bios for Fellows and AANP staff.

Requirements

External User Requirements (Fellows)

Fellows Types and Designations:

  1. As a Fellow, I should be able to see my current Fellows membership in my profile.
  2. As a Fellow, I should be able to view the benefits and fees associated with my specific type of Fellowship.
  3. As a Fellow, I should NOT be able to view my current Fellows designation in my profile, this should be visible to staff only.
  4. As a Fellow, I should still have full Fellows benefits and access to all Fellows areas, even if my AANP Member type restricts other member benefits (i.e. International members)

Fellows Induction Processes

  1. As a Fellow, I should be able to RSVP for various events at the National Conference, including the awards ceremony and dinner.
  2. As an Inductee Fellow, I should be able to pay the Fellows Induction fee, in addition to a prorated membership fee aligned with my current AANP membership dues.
  3. As an Inductee Fellow, my application fee payment status and continous membership date should be made accessible to the third party nomination form.

Profile and Account Management:

  1. As a Fellow, I should be able to log in and manage my Fellows-specific profile details, with restricted access to sections visible only to Fellows.

Event Management:

  1. As a Fellow, I should be able to submit RSVP details and pay for various events, including the Fellows Induction and Fellows Winter Meeting, providing additional information such as dietary restrictions.

Bio Management:

  1. As a Fellow, I should be able to create and manage my bio, including name, photo, description, worksite, title, affiliation and extended details visible only to other Fellows and internal users.
  2. As an external user, I should be able to search by first name, last name, city, state, induction year, and therapeutic area and view limited Fellow bio information.
  3. As a Fellow or internal user, I should be able to search be able to search by extended variables including first name, last name, city, state, certifications, expertise areas, induction year and view extended Fellow bios.

Automated Notifications and Campaigns:

  1. As a Fellow, I should be able to receive automated communications for confirmations, rejections, selections, and event invitations.

Membership and Fee Management:

  1. As a Fellow, I should have my Fellows dues prorated during the induction year to align with my AANP membership renewal date.
  2. As a Fellow, I should be able to view the prorated dues calculation and understand how it aligns with my AANP membership renewal.
  3. As a Fellow, I should be able to pay my AANP membership and fellows dues combined through an online portal.
  4. As a Fellow, I should be able to combine my AANP membership and Fellows dues into one packaged auto-renewal, aligning dues for both.
  5. As a Lifetime AANP member who is a Fellow, I should be able to pay my Fellows dues alone through an online portal (Lifetime AANP memberships are free).
  6. As a Lifetime AANP Member who is a Fellow, I should be able to pay for my Fellows dues alone using auto-renewal (Lifetime AANP memberships are free).

Internal User Requirements

Membership and Sponsor Validation:

  1. As an internal user, I should be able to manage and validate the different types of Fellows (Regular, Lifetime, Legacy, Inductee, Honorary) and their specific criteria.
  2. As an internal user, I should be able to update and manage designations for Fellows (Employee, Former Chair, Hardship, Awardee, or no designation).
  3. As an internal user, I should be able to manage the proration of induction fees for Inductee Fellows.

Application Management:

  1. As an internal user, I should be able to receive notification of nomination applications submitted from sponsors.
  2. As an internal user, I should be able to review, approve, and select qualified members for fellowship.

Document and Data Management:

  1. As an internal user, I should be able to upload relevant documents (e.g., nomination forms, letters of recommendation) and link them to the appropriate Fellow’s record for easy access and record keeping.

Reporting and Analytics:

  1. As an internal user, I should be able to run customized reports on metrics like Fellow engagement, contributions, and participation in events to evaluate program performance over time.
  2. As an internal user, I should be able to access insights and dashboards that provide a holistic view of the Fellows program's performance, opportunities for improvement, and next best actions.

Event Management:

  1. As an internal user, I should be able to manage events, track registrations, and generate attendance reports for Fellow-exclusive programs and conferences directly within the system.
  2. As an internal user, I should be able to manage RSVPs and payments for the Fellows Winter Meeting, including tracking additional RSVP details such as dietary restrictions.

Automated Campaign Workflows:

  1. As an internal user, I should be able to configure automated campaign workflows to streamline outreach and communications based on engagement scoring and behavior over the Fellow's lifecycle.
  2. As an internal user, I should be able to create notifications and announcements that are delivered to Fellows with a no-reply email address for responses.

Integration and Finance:

  1. As an internal user, I should be able to integrate the system with finance/billing platforms to facilitate seamless invoicing and payment processing for program-related fees.
  2. As an internal user, I should be able to configure proration rules for Fellows dues to align with AANP membership renewal dates.
  3. As an internal user, I should be able to calculate and apply prorated dues based on the number of months remaining until the AANP membership renewal date.
  4. As an internal user, I should be able to set up product rules that automatically add the appropriate Fellows product when an AANP membership product is added to a cart.
  5. As an internal user, I should be able to ensure that the default Fellows member type is added to the cart, with the flexibility to select any acceptable Fellows member type.

Bio Management:

  1. As an internal user, I should be able to update and manage Fellows' bios, including both basic and extended information.

Membership Type Management:

  1. As an internal user, I should be able to manage separate dues for Fellows membership and AANP membership.
  2. As an internal user, I should be able to handle scenarios where companies pay for AANP membership but not for Fellows membership.
  3. As an internal user, I should be able to manage future International Fellows dues following the appropriate pricing guidelines.
  4. As an internal user, I should be able to apply a reinstatement fee and related invoice for former fellows that want to renew their membership.

Assumptions

  • All Internal and External Users will be included in the Personas definition.
  • Timelines will follow as outlined in each requirement.

Appendix

Prorated Dues Calculation: In the initial induction year, the Fellow's dues will be prorated based on the number of months remaining until their annual AANP membership renewal date. The Fellows Induction Ceremony occurs at our National Conference in June, so that is when the proration cycle resets.

Based on their AANP membership renewal date, the prorated dues will be calculated as follows.

  • January - $87.50
  • February - $100.00
  • March - $112.50
  • April - $125.00
  • May - $137.50
  • June - $150.00
  • July - $12.50
  • August - $25.00
  • September - $37.50
  • October - $50.00
  • November - $62.50
  • December - $75.00

For example: If the new fellow's AANP membership renewal date is in February, they will be charged $100.00 for their initial year of Fellows Dues.

Currently, each prorated amount listed above is a separate product in Aptify. This product is added to an invoice and provided, along with the Induction Fee, to the inductee for payment.

Types of Fellows:

  1. Regular Fellow:

    • Criteria: Must have been an AANP member for at least two years, nominated by a current Fellow, complete the nomination and application process, pay annual dues.
    • Fees: Annual dues of $150.
    • Benefits: Access to exclusive Fellow events and resources, participation in mentoring and leadership opportunities.
  2. Lifetime Fellow:

    • Criteria: Granted based on significant contributions to the NP profession, recognized for long-term service and outstanding achievements.
    • Fees: No annual dues.
    • Benefits: All benefits of Regular Fellows, including event access and leadership roles.
  3. Legacy Fellow:

    • Criteria: Awarded to Fellows who made significant contributions.
    • Fees: No dues.
    • Benefits: All benefits of Regular Fellows, including event access and leadership roles.
  4. Inductee Fellow:

    • Criteria: Newly selected Fellows undergoing induction, pay a prorated induction fee that aligns with their current AANP membership dues, subject to the same criteria as Regular Fellows.
    • Fees: Prorated induction fee.
    • Benefits: Full benefits upon completion of the induction process.
  5. Retired Fellow:

    • Criteria: Request of change from regular to retired initiated by the member.
    • Fees: Annual dues of $75.
    • Benefits: Access to exclusive Fellow events and resources, participation in mentoring and leadership opportunities.
  6. Honorary Fellow:

    • Criteria: Designated by the Fellows Committee for individuals who have significantly supported the NP profession, may not necessarily be NPs, and do not undergo the standard application process.
    • Fees: No dues.
    • Benefits: Limited benefits. Unable to sponsor a New Fellow, unable to vote in AANP or FAANP elections. Will have an Associate Membership in AANP

Designations:

  1. Employee: AANP staff who are also Fellows.
  2. Former Chair: Fellows who have served as chairs of the Fellows committee.
  3. Hardship: Fellows granted free membership due to financial difficulties.
  4. Awardee: Fellow who has won the Legacy Award or the Loretta Ford Award. Very limited usage.
